Don’t have time to sit through an instructional video or tutorial right now? Here are some quick guides to help you get around in Collibra or navigate our Data Governance processes.

  1. Please go to the UNCG Collibra in your browser (https://uncg.collibra.com/).
  2. You will be asked to login with your UNCG credentials using Single Sign-On (SSO). Do not create an account.
  3. You will arrive to a home page showing default dashboard which contains basic statistics and reports.
  4. You may access various tools such as Browse Communities, Search, and may go to other dashboards using tabs.
  5. Click on a small UNCG logo on the top left to return to a default dashboard.

Note: You may be logged out of Collibra after about 30 min of inactivity. Please sign in again if you want to continue working in Collibra.

  1. Please go to the UNCG Collibra in your browser (https://uncg.collibra.com/).
  2. Navigate to the header at the top of the page. There you will find the Search field with a magnifying glass icon.
  3. To use Search, click in the Search field. The Search field will open for typing, while showing you Recently Viewed items. You can select a recently viewed item to go to that page or type in a search term.
  4. If typing in a search term, Collibra will present Top Results and the option to See All Results.
  5. Top Results will contain the top 10 results of assets, communities, and more containing your search term and will be accompanied by their corresponding icon. Click on an asset name you want to select, to go to that page.
  6. To view more options or details, select See All Results. See All Results will take you to the Search page where more results with filter options are available. Click on an asset name you want to select, to go to that page.

Note: The search results are automatically filtered by the current community or domain if you search with a community or domain page open.

The Collibra Browser Extension allows you to quickly search for definitions of business terms, to view report details, and much more from any web page against the Collibra Data Intelligence environment. One powerful way to use this extension is with a business intelligence (BI) tool such as Power BI. The extension can automatically identify the document on which you are working and show you the information about that document in a single click.

  1. To learn more about the extension and if it is a feature you would like to use, visit Collibra Documentation.
  2. To add the extension in a Chromium-based browser such as Google Chrome or Microsoft Edge, visit Add the Browser Extension to Your Browser
  3. After adding the extension, configure it by adding the address of UNCG’s Collibra Platform URL (https://uncg.collibra.com). If you use Power BI, or another BI tool, add its URL as a domain in the extension. For detailed steps, visit Configure the Browser Extension.
  4. To ensure the extension is visible in your browser toolbar, pin the Collibra Browser Extension to your extension list (visible in the top right corner of the browser). Collibra Documentation provides details with images.
  5. To use the extension with your configured BI tool, go to the configured BI tool’s URL. The Collibra Browser Extension logo should appear in your toolbar in the top right corner of the browser and as a Collibra logo overlay directly on the web page. This overlay can be moved around the web page, and to search Collibra, click on the overlay to start.

  1. Please go to the UNCG Collibra in your browser (https://uncg.collibra.com/).
  2. Navigate to the Domain (Glossary, Logical Data Dictionary, etc.) you wish to work and toggle views in.
  3. Use the Display Option icon to edit fields in your view by rearranging those already visible or
  4. Click in Select fields to add new fields
  5. Once your fields are in order use the Display Option icon to further customize your view with
    • change rows per page
    • wrap text, or
    • change the display mode
  6. Once your view is configured to your liking, click Save As View to Name and Describe your view.
  7. Choose your Sharing option
    • Public- everyone on the catalog can see and use your view.
    • Private- only you can see and use your view (your recommendation per UNCG EDG Team).
    • Share with specific roles, groups, & users.
  8. Choose Promote option
    • Default- View will default for all users who navigate to this domain.
    • Pin- View will stay in your drop-down Views List (your recommendation per UNCG EDG Team).

Note: The UNCG EDG Team has customized default views to create ease in usability of the catalog. If you have a view you would like added for all users, or a suggestion to a current view that would benefit all users, please email our team.

PDF: How to Create/Use Views in Collibra

Note: For this example, we will be using the Welcome Dashboard which is accessible by all users.

  1. Please go to the UNCG Collibra in your browser and log in (https://uncg.collibra.com/).
  2. The dashboards are labeled by the tabs below the Search box. The Welcome Dashboard is the pinned dashboard for all UNCG users and should display upon initial log in. Once you are a more frequent user, your last accessed dashboard is what will display upon logging in.
  3. The Quick Links section is a curated list of links to navigate to popular and most demanded pages within the catalog with ease. Each link takes you to a catalog, hierarchy, or glossary within the catalog. Unsure which one is the right link for you? Check the descriptions below each link.
  4. Today’s Asset Count gives a real time count of the assets in the catalog. These assets are all clickable, meaning if you select Business Terms, it will take you to the Global View of the Business Terms, where you can view, filter, and search through 1K of the terms cataloged within Collibra.
  5. Meet the Team lists our names and titles as well as our website. If clicked, the website link takes you to our Enterprise Data Governance Website in a new tab.
  6. Contact Us provides our email and a link to the IREDM website. By selecting our email, your Outlook desktop App opens to send us a message. If you select the IREDM link, it will take you to their website in a new tab.
  7. Training is where you can sign up for your own Collibra University account and gain access to Collibra resources to help on your Data Governance journey. By selecting the Collibra University link, a new tab will appear prompting a sign in with SSO. If you have not yet made an account, open the second link and follow the instructions listed in the description.
  8. Submit a Request links to the forms in ServiceNow, UNCG’s Online Service Portal, where you can submit an item for Data Governance review using the Data Governance Intake form. Use the Metadata/Data Quality form to request new codes, business terms, or other data assets, or to report a data quality issue. You can request to have an item cataloged or a report certified using the Catalog Request Form.
  9. Recent are your top 10 most viewed assets. These are unique to each user based on your activity in Collibra. These are also all linked assets, by selecting them it will take you to the catalog record.
  10. Most Viewed are the top 10 most viewed assets based on the activity of all UNCG Collibra users. These are also all linked, so you can click them to visit the catalog records.

PDF: How to Navigate a Dashboard

The following data-related issues can be reported by any UNCG affiliated person: data quality issue, new business term or definition, new code value or description, and others. Issues should be reported through the UNCG’s 6-TECH Online Service Portal (https://uncg.service-now.com/support). The request will be received by the Enterprise Data Governance (EDG) team and addressed as appropriate.

  1. Arrive at the 6-TECH Online Service Portal and log in with your UNCG credentials if not logged in already. Select “FIX IT” -> “Data Governance” -> “Metadata / Data Quality Request Form”.
  2. Open the from. Its top portion describes the types of issues which are appropriate to report with this form.
  3. Fill out fields.
    • Field “Requested By” will be auto populated with your name.
    • Select request type from the dropdown menu (Data Quality Issues, Business Term or Definition, Code Value or Description, Data Asset, Other).
    • In the “Subject of the Request” write a brief statement of what you want to accomplish.
    • In the “Detailed Description of the Issue” provide detailed information supporting the request: background, how things are currently done, limitations, impacts of the current practice, what departments/areas are affected, and applicable policies, procedures, systems, or data source.
    • In the “Detailed Description of the Proposed Change” write how will the change resolve the issue, what are the benefits, potential impacts, known risks, resources needed, departments/areas that will be affected.
  1. Attach a file with additional information if necessary.
  2. Submit the form.
  3. The EDG team will start addressing the request. Depending on the request type, the issue might need to be discussed in one of the Data Governance committees. An EDG team member will follow up with you via the open request.

PDF: Propose a Data Quality Issue, New Code Value, Business Term or Definition using ServiceNow

  1. Arrive at the 6-TECH Online Service Portal and log in with your UNCG credentials if not logged in already. Select “FIX IT” -> “Data Governance” -> “Catalog and Report Certification Request”.
  2. Open the form. The top portion describes the purpose of the ticket.
  3. When filling out the ticket, the field “Requested By” and “Contact Email Address” will be auto populated with your information. “Contact Phone Number” is optional.
  4. Under the Catalog Request portion of the ticket, in the “Has this item previously been cataloged?” field, select the response that best corresponds with the request.
    • “Yes, update existing record”: Yes, this asset has already been cataloged and requires an update.
      • Note: select this option when a previously cataloged report needs to be certified.
    • “No, create new record”: No, this asset has not been cataloged, and needs to be.
    • In the “Data asset name” field, provide the asset’s name.
    • In the “Data asset type” field, select the asset type that best corresponds with the request.
  5. Under the Report Certification Request portion of the ticket, in the “Do you wish to have this report certified?” field, select the response that best corresponds with the request.
    • “Yes”: Yes, this asset needs to be certified.
      • Note: A report/dashboard must be cataloged before it can be certified. When requesting certification on a report that is not cataloged, be sure to also request that the report/dashboard be cataloged (see step 4).
    • “No”: No, this asset does not need to be certified.
      • Note: If the requestor is uncertain if certification is necessary, it may be requested at a later date.
      • Note: Only the asset type report/dashboard qualifies for report certification. For all other asset types, select “No”.
    • The last field “Additional Information” is optional and open ended for the requestor to add any information they would like to provide with the request.
  6. Submit the form.
  7. The EDG team will receive the request and a team member will follow up with you via the open request.

PDF: How to Submit a Catalog and Report Certification Request using ServiceNow

  1. Please go to the UNCG Collibra in your browser (https://uncg.collibra.com/).
  2. Open the asset page of the asset you wish to tag, rate or comment on.
  3. Under Details located on the left-hand side of the asset page, select Tags, Ratings, or Comments. Alternatively, you may scroll down to the bottom of the page.
  4. To add a tag, double click on the textbox or select on the far right-hand side of the textbox. Type out your tag and click Save.
    • Note: As you type, already existing tags that match what you are typing will be suggested.
    • Tags are case sensitive and spaces are not permitted. The first letter of each word should be capitalized without using spaces. Alternatively, tags may contain underscores (_) between words.
    • Examples include:
      • InstructionalMethods
      • International_Studies
  5. To add a rating, select the star that corresponds most closely to your opinion of the quality of the asset. The rating scale is one to five, with one being the lowest quality and five being the highest quality.
    • Note: Ratings will display the average rating of all users who rate the asset.
  6. To add a comment, double click in the textbox to enter your comment and press Save.
    • Note: Within the Comments box you can mention another Collibra user, add a link or image, and adjust the format of your message.
    • To mention another user, use the “@” to begin mentioning another Collibra user. Existing Collibra users that match what you are typing will be suggested. The mentioned user will receive an email notifying them of the comment.
    • If you would like an EDG team member to see or engage with your comment in a timely manner, please mention one of them in your comment. For example: @AliceFleck
